Webinar show-up rate calculator
Enter eligible registrants and unique live attendees from the same session. The calculator shows your live show-up rate, no-shows, and how many attendees a target rate would require.

Calculate your live attendance rate
The starting values are an example. Replace them with your session’s counts. Your entries stay in this calculator and are not submitted.
- Live show-up rate
- 30.0%
- No-shows
- 280
- Attendees needed at target
- 160
- Additional attendees needed
- 40
The target is your planning assumption, not a forecast of results from ShowFi or any reminder change. Attendee targets round up to whole people.
The show-up rate formula
Live show-up rate = unique live attendees ÷ eligible registrants × 100. No-shows = eligible registrants − unique live attendees. For example, 120 attendees from 400 registrants is a 30% show-up rate and 280 no-shows.
A target of 40% in that example requires 160 attendees, or 40 more. That is a 10 percentage-point increase; it is not a prediction that a reminder change will produce those attendees.
Use the same population for both counts
Deduplicate registrants and attendees using a consistent identity rule. Exclude hosts, staff tests, and cancellations according to the same rule across sessions. Count a person who reconnects once, and keep replay viewers separate.
For recurring events, select one session or define a consistent cohort across sessions. Record the registration cutoff and your attendance definition, such as joining live at any point or meeting a minimum viewing duration.
Treat the target as a planning assumption
Set your target using your own comparable sessions and operational needs. There is no universal good rate in this calculator. Topic, audience source, registration lead time, and session schedule can change the baseline.
The calculator rounds the target attendee count up to a whole person so that meeting the count reaches at least the target percentage. If you already meet the target, additional attendees needed is zero.
Connect the gap to an attendance audit
Check the registration promise, confirmation page, reminder delivery, and joining experience before choosing a change. A Wallet pass can provide another way to find the event details, but a confirmed save does not prove live attendance.
Measure results using actual participation data from your webinar platform. Keep the counts and assumptions with your comparison so a higher rate does not hide a smaller or different audience.
Frequently asked questions
How do you calculate webinar show-up rate?
Divide unique live attendees by eligible registrants from the same session, then multiply by 100. For 120 attendees and 400 registrants, the rate is 30%.
Can Wallet saves count as attendees?
No. A confirmed Wallet save records a saved pass. Use participation records from your webinar platform for live attendance.
