A webinar reminder sequence you can adapt and send

Assign each channel a job

Use the confirmation page to confirm the registration, explain the reason to attend live, and offer calendar and Wallet save options. Use email for preparation and the attendee’s join details. Add SMS only within the consent and messaging rules of your sending tool.

These are suggested copy and timing choices, not a sequence that ShowFi installs automatically. Your webinar or CRM platform sends the emails and SMS. ShowFi handles the configured Wallet pass and supported reminders.

Immediately after registration: confirm and offer the save

Place the Wallet option on the confirmation page while the registrant is already there. The email provides another way to return to the event details.

One day before: explain what to prepare

Send only to people already registered when this step is due. Keep the live benefit concrete: an exercise, demonstration, or Q&A that actually happens in the session.

One hour before: make joining straightforward

Review overlapping Zoom, CRM, and Wallet reminders. Choose the channels deliberately instead of turning on every default.

Fifteen minutes before: an optional short reminder

If your SMS workflow is enabled for eligible recipients, this is example copy. ShowFi also supports a fifteen-minute Wallet reminder; review that setting alongside the one-hour and start-time reminders.

At start and after the session

The start-time reminder should use the tested attendee destination. Only say the room is open if it is. Afterward, use actual attendance records to separate attendee follow-up from no-show follow-up. Offer the replay only when one is available.

For late registrants, skip expired steps instead of sending the whole backlog. Remove canceled registrations from your sending sequence. If the session moves, recalculate scheduled messages and test the new time across your tools.

Check the sequence before launch

Bracketed fields are placeholders, not platform merge-field syntax. Replace them with the right variables in the tool that sends each message. Preview the rendered text and links with test contacts.

• Keep each person’s join URL and claim URL mapped to that person.
• Verify the date and time zone in every message and saved pass.
• Test registration before and after a scheduled reminder cutoff.
• Test two contacts, a reschedule, and a cancellation.
• Use attendance data for the follow-up segment, not an email open or Wallet save.
